Senior Accounts Payables Administrator

Introduction

LUMICKS is looking for a Senior Accounts Payable administrator for our office in Amsterdam, to help the Shared Services department grow. You will get a unique opportunity to be closely involved in the Procure-to-Pay  process of a rapidly growing international business. You will work closely together with  the Senior Manager Shared Services. You will be responsible for the timely recording and payment of vendor invoices and ensuring accurate accounting of the companies’ liabilities in close cooperation with the other team members and Finance teams. You will be an important player in the team, and will report directly to Senior manager Shared Services. You will have a key role in setting up a structured, well organized and in control accounts payables team. Besides you will be responsible for the monthly delivery of reporting requirements and you will assist in reporting activities occurring between the different business units in Amsterdam and US. To be successful in this role we ask from you to be a hands-on team player who have experience in accounting, accounts payable and reporting. Furthermore, you have an eye for detail and are able to explain complex topics to all levels within the company. You are also driven in delivering the best and most efficient result, timely payment of vendor invoices, and continued improvement of the Accounts Payables process.

What are my tasks & responsibilities?

  • Develops guidelines for proper handling and coding of invoices to maintain general ledger expense account and inventory records and perform periodic reviews on the correctness and completeness of expenses;
  • Analyse expense reports and other invoices for accuracy and eligibility for payment;
  • Prepare weekly payments overview in order to perform weekly payments;
  • Oversees reports regarding cash flow; ensures correct payments are made in a timely manner;
  • Reconciles accounts payable total and general ledger with other applicable records (e.g., subsidiary vendors ledger);
  • Preparing analyses of accounts and producing monthly reports;
  • Facilitates correct and timely preparation of budget reports and purchase journals;
  • Continuing to improve the accounts payables and payment process and coaching and training of the Accounts Payable team;
  • In general responding to all vendor enquiries regarding finance;
  • Ensures proper recordkeeping of purchases for use in tax preparation and periodic audits;
  • Ensures proper maintenance, filing, and storage of records in case of audits;
  • Coordinates accounts payable activities with Lumicks Procurement department and other departments to ensure a smooth Procure-to-Pay process;
  • Ensures proper VAT treatment for expense reports and invoices received;
  • Coordinate and implement accounting policies for Lumicks’ activities;
  • Provide support for in time issuing the annual statutory financial statements and other financial reporting obligation for all these entities.

What are my skills & competencies?

  • A solid understanding of financial reporting and financial processes in an international environment;
  • Assertive team player and an international mindset;
  • Ability to work independently and accurately under strict deadlines;
  • Ability to coach and train Accounts Payable team members:
  • Demonstrate excellent interpersonal and communication skills;
  • Experienced in month-end closing processes and external audits;
  • Fluency in English and Dutch;
  • Flexible, energetic and enthusiastic person, with a hands on mentality and eye for detail;
  • A good general knowledge of MS Office is essential, especially Excel;
  • Experience with Exact or similar financial reporting package is a plus;
  • You are in possession of at least a BSc in Accounting or Finance;
  • Ideally you have a minimum of 3-5 years of relevant experience;
  • You have knowledge of IFRS and Dutch GAAP (nice-to-have).
