Introduction

As our Office Assistant you will assume overall responsibility for the office logistics of LUMICKS’ US HQ in Waltham, MA,  as well as supporting the needs of the US Commercial business.  LUMICKS has come to market as the supplier of instruments for biological and biomedical research with an ever-increasing adoption of our technologies by leading institutes from all over the world. Our high-performance instruments support researchers to better understand the fundaments of life, the origins of diseases such as cancer and how to better treat them. We offer the chance to be part of an important mission: to improve human health by unlocking dynamic single-molecule and cell analysis.  As our Office Assistant you will report into the U.S. Vice President and General Manager US.

LUMICKS US is primarily a REMOTE workforce with a base of operations in Waltham, MA.  The office serves the purpose of housing a small number of offices for local employees, a demonstration lab as well as stocking of sales and marketing materials for the field team.

 

Location: Waltham, Massachusetts, USA | Hybrid position: Minimum 3 days/week on-site

What are my tasks & responsibilities?

  • Responsible for maintaining orderly operation of the office including:
  • Ordering office supplies and equipment and maintaining proper stock levels
  • Being the point of contact for any maintenance and repairs if needed (fridges, freezers, Espresso machine, etc..)
  • Assuring the office is kept tidy and organized for visitors
  • Oversee specific improvement projects (eg. board room AV enhancements) and office decorations
  • Responsible for keeping the kitchen stocked and organized with snacks and beverages
  • Ensure meeting rooms are meeting-ready daily
  • Maintain relationships with suppliers
  • Be the contact point for office access cards and online permission sets
  • Manage office and other commercial expenses including timely payments in our expense reporting system
  • Assist with general office administration as needed
  • Travel and Event planning for our US-based teams group events and activities
  • Purchase and ensure shipment of employee gifts for birthdays and or anniversaries
  • Send out new employee’s welcome packages
  • Host visitors, candidates, and suppliers in the office
  • Organize travel for candidates and employees when needed

What about my skills & competencies?

Requirements:

  • 1+ years of administrative experience, preferably with a growing organization
  • Excellent communication, interpersonal skills and professional demeanor
  • Experience with expense management systems (eg. Concur, Expensify, etc..)
  • Experience booking travel for individuals and groups
  • Strong organizational skills, ability to multitask and work with multiple teams
  • Positive attitude, pragmatic, energetic, proactive, being able to prioritize, flexible

  • Task driven, derives enjoyment from completing tasks on-time
  • Highly Organized
  • Pro-active with communications and solving issues, able to identify and highlight concerns ahead of time
